Proposal settings: Configuration

The Configuration tab helps you define the owners and responsibility assignment administrators of the proposal. Responsibility assignment administrators are the users who can edit the proposal's responsibility assignment matrix (RAM).

This tab is also for customizing different parts of your proposal, such as the sort order of tasks, and the name of your proposal breakdown structure (PBS). You can create more fields for task and resource information as well.

Proposal
Owners Click to select the users who are the owners of the proposal. Only owners can select users in the Responsibility Assignment Administrators setting.
Responsibility Assignment Administrators Click to select the users who can edit the proposal's responsibility assignment matrix. These administrators can also access the Resource Code Mapping proposal settings.
Currency The system-level currency is applied to the proposal by default. You can select a different proposal-level currency if the proposal does not have any estimates yet.
Proposal Breakdown Structure
Label The PBS label is required. It can contain up to 20 characters. The default label is WBS which stands for work breakdown structure.

The label is the proposal breakdown structure name that appears on the Estimates page.

When you change the PBS label, make sure it's unique. The label will not be applied if it's already used as the task name label, proposal description, proposal start date or end date, or a custom task field name.

Sort Order The PBS sort order is required. It determines how PBS elements with the same hierarchical position are organized in the structure.

Alphabetic: List the PBS elements in ascending order according to the first letter in each element name.

Numeric: List the PBS elements in ascending order according to the first number in each element name.

Tasks
Task Name Label The task name label is required. It can contain up to 20 characters. The default label is TASK ID.

The task name label appears on the Estimates page when tasks are created or edited, and when task information is viewed.

Sort Order The task sort order is required. It determines how tasks are organized in the grid on the Estimates page.

Alphabetic: List the tasks in ascending order according to the first letter in each task name.

Numeric: List the tasks in ascending order according to the first number in each task name.

Custom Task Fields

Click to view all custom task fields stored locally in BOE Pro. You will also see the values that can be entered in each field.

In the window, you can create your own task fields, or edit and delete existing ones.

You can select custom task fields for a proposal individually, or you can select them all simultaneously. When every desired field is selected, click Accept to assign them to your proposal.

Resources
Custom Resource Fields

You can select custom resource fields for a proposal individually, or you can select them all simultaneously. When every desired field is selected, click Accept to assign them to your proposal.

SOW/BOE Text
Link SOW/BOE To Linking the SOW/BOE to the PBS level or task level is required. It determines where SOW and BOE text can be added in the proposal. If text has already been added at the selected level, then the setting cannot be changed to the other level.

Task: SOW text can be added to PBS elements and tasks, and BOE text can be added to tasks.

PBS: SOW and BOE text can be added to PBS elements, but no text can be added to tasks.

Default (Task and/or PBS): SOW and BOE text can be added to PBS elements and tasks.

Send email notifications To enable email notifications in a proposal, the system-level email notification setting must be enabled. Additionally, BOE Pro, must be configured to send email notifications to your email server. During the BOE Pro installation and deployment process, you must enter valid SMTP settings in the web API appsettings.json configuration file.

Email notifications are only for a proposal's BOE workflow. Each time a workflow step changes, the appropriate people automatically receive an email. It includes a hyperlink to the BOE that the notification is for, so recipients can get to it in one click.

Allow BOE attachments Selecting this setting lets people attach files to any BOE they are working on in the proposal. Clearing it prevents file attachments in the BOEs.
